Overview

A strategically driven digital transformation that required empathy towards system-user needs, whilst harmoniously meeting business requirements and goals. 

Our team rallied multidisciplinary stakeholders to centralise business operating practices, automating essential data and functions and standardising WOW across the group.

We interrogated systems, tools and processes to identify the primary pinch points and enable a seamless transition from planning media in excel, to working solely in a proprietary media planning application setup for 12 different media types. 


The ask

Initially we were contracted to redesign and launch a replacement of a proprietary TV planning and deal management tool. Once it was decided that the business would enhance an existing multi-media planning tool, we were asked to work with the product team to meet the business requirements, whilst simultaneously rolling out the tool to the UK market.

  • Personas & customer experience map to deepen understanding of system users and drive business strategy

  • Designs of a replacement TV Planning tool, validated with users

  • Designs and user testing of new platform features

  • Managed set up of 300+ clients and rollout to 2000+ users across 5 agencies.

  • 14 standardised media planning templates that automated fees, pricing and complex calculations.

  • Oversight of 5 new features and 150+ requirements delivered.

  • Achieved UK-wide standardisation, reducing errors and increasing operational efficiency.

  • Improved user attitude towards the tool.

The project required the following services:

  • We interviewed stakeholders, observed system users and conducted desk research to better understand TV planning and the business needs

  • We transformed our research into a visual map that outlined the planning stages from start to finish and highlighted key pain points

  • We worked with the transformation team, business stakeholders and the product team to plan the business migration from Excel to their proprietary media planning platform

  • After completing a GAP analysis and gathering user requirements, new features were designed

  • We rapidly created prototypes of new features and configured planning templates in the live platform based on user requirement

  • We conducted user testing of new features whist getting teams to conduct UAT of existing functionality. This created a feedback loop that informed our product backlog and priorities.

  • We worked closely with the product support team, managing the set up of 300 clients and 14 media planning templates within the platform.

  • We prepare comms and training materials and supported in up skilling users.
